UK: Password Protection for Payroll Documents
You can now password protect UK payroll documents sent via email for added security.
When enabled, P45s, P60s, and payslips are encrypted before being emailed to employees, helping safeguard sensitive payroll data and support compliance with UK GDPR.
What does this mean?
Employees will need a password to open their emailed documents. The password is automatically generated using information they already know:
- First 4 letters of surname + NI number (all lowercase)
- If no NI number is available: surname + date of birth (ddmmyyyy)
- If neither is available, the document will be sent without encryption
Each email includes instructions and prompts employees to contact their employer if they need help accessing their document.
Where to enable:
You can turn this on per company file:
Payroll Settings > Company Setup > General Settings
